Overview

This standard covers maintaining stocks of resources, equipment and consumables.

This standard includes monitoring stock levels and ordering stock in accordance with the organisation’s procedures and purchasing agreements. It also includes checking deliveries of stock against purchase orders and delivery notes, and the storage of stock.

This standard is suitable for all those who maintain stocks of resources, equipment and consumables.


Performance criteria

You must be able to:

  1. confirm that your work is carried out in accordance with organisation procedures
  2. implement safe practices and use the appropriate personal protection equipment (PPE) where required
  3. check stocks of resources, equipment and consumables on a regular basis and confirm that they are within the re-order levels set
  4. check the packaging information on individual stock items, and confirm that critical details are within acceptable limits
  5. dispose of stock or items that are damaged or outside the acceptable limits for use, in accordance with organisation procedures
  6. identify when stocks need to be ordered to maintain the required levels, allowing time for delivery
  7. identify where stocks should be ordered from and the procedure for re-ordering
  8. obtain permissions for the order, where required, and dispatch the order in accordance with organisation procedures
  9. check the new stocks received against the purchase orders and delivery notes and follow the required procedure where there are any discrepancies or damaged items
  10. safely handle and transport stock items, using appropriate methods and techniques
  11. confirm items are correctly labelled and store items in the correct environment and location in accordance with manufacturer’s guidelines and organisation procedures
  12. access and update records of stock levels
  13. carry out all work in accordance with the relevant environmental and health and safety legislation, risk assessment requirements, codes of practice and organisation policies

Knowledge and Understanding

You need to know and understand:

  1. the importance and correct use of appropriate personal protective equipment
  2. the limits of your authority and who you should report to if you have problems that you cannot resolve
  3. the types and range of resources, equipment and consumables used in the workplace, and how often they must be checked
  4. the importance of correct identification, and any unique workplace coding system in place
  5. how to monitor and maintain stock levels of resources, equipment and consumables
  6. the importance of checking the packaging information on stock, such as batch numbers and expiry dates
  7. how to deal with unusable or damaged stock items, in accordance with the relevant legislation and organisation procedures
  8. where to find information on stock re-order levels
  9. the organisation procedures for ordering stock, including when permission for the order needs to be obtained
  10. the principles of purchasing from sustainable, ethical and local sources
  11. the importance of checking delivery notes against purchase orders and what to do when there are discrepancies or damage
  12. how to handle, transport and store stock items safely and correctly
  13. the range of storage environments used to store resources, equipment and consumables
  14. how and why it is important to identify materials or chemicals that should not be stored together
  15. how to label new stock items correctly, and how to record the information
  16. why it is important to maintain accurate records for resources, equipment and consumables
  17. your responsibilities under the relevant environmental and health and safety legislation, codes of practice and organisation policies
